An opportunity has arisen for an outstanding Office assistant to join our Web Development Company-INFOWAY
You will manage the reception area docs works, order and track inventory and purchases, ensure invoices and payments are processed timely and accurately, arrange couriers, travel, meeting provisions and catering, maintain databases and site specific information, and provide support to the Personal Assistant and team as required. You will be rewarded with a great work environment and a supportive team structure. Your attention to detail, customer service skills and understanding of systems would be highly regarded for this position.

Key Responsibilities

  • Handling of Administrative Duties - phone calls, invoicing and any other office related duties.
  • Collect, sort and dispatch internal and external documents and correspondence
  • Attending to customer emails.
  • Maintaining customer database.
  • Maintain and update documentation of policies and business processes
  • Resolve client queries
  • Sending prompt responses to the emails.
  • Compiling Data in MS Office documents / any other MIS software being used in the company.
  • Replace distilled water dispensers and refill pantry items
  • Perform shredding of obsolete confidential documents
  • Assist in photocopying and binding of documents
  • Handle other errands and general office duties as required from time to time
  • Responsible for general administrative support
  • Maintain corporate records and filing system
  • Handle ad hoc projects when required
  • Process member data
  • Keeping up-to-date stock information regarding office instruments and other equipments.
  • Create/update CMS to accurately reflect workflows
  • Arrange daily internal and external mail delivery
  • Ensure prompt payment of phone bill and monthly tax submission
  • Data entry and filing
  • Collate and compile data
  • To help in day-to-day activities of the office
  • To receive and clarify any inquiries (in person and telephonic), related to projects, training, etc.
  • Delivery of invoices as well as to maintain office cleanliness.
  • Act according to the intent of Infoway Business Principles and Corporate Values, key applicable laws, rules and regulations that relate to the line of business or jurisdiction
  • Attend Classroom & Online training of all Mandatory Compliance modules during the year whenever announced & communicated

Job Requirements:

  • Graduate with at least 1 year experience (freshers may also apply if they have good academic record with good attitude)
  • Good command of English, Hindi and Bengali
  • Quality operational knowledge of Microsoft Office tools (MS Excel & MS Word) and internet
  • Excellent desktop flexibility with good typing speed.
  • Good organizational and excellent communication skills
  • A team player with good customer service attitude
  • Detail-conscious and able to work independently
  • Ability to work efficiently and proactive
  • Able to Start Work Immediately.
  • Good level of responsibility, reliability, and punctuality
  • Appropriate and professional behavior at all times
